This Privacy Policy explains how Srota, a product of Forgenest Services Pvt. Ltd. ("we", "our", "Srota"), collects, uses, and protects information when you use the Srota platform and its applications (Srota RMS and Srota IMS). By using Srota, you agree to the practices described here.

1. Information we collect

We collect information in three categories:

• Account and business information. When you register, we collect your name, email address, phone number, and your business details including business name, PAN or VAT registration number, and address. This is required to set up your account and comply with Nepal's tax regulations.
• Operational data. As you use the platform, we store the data your business generates: orders, invoices, inventory records, stock movements, customer accounts (including khata balances), and payment records. This data belongs to your business — we hold it on your behalf.
• Usage and technical data. We collect information about how you use Srota: browser type, device information, IP address, pages visited, and actions taken within the application. This helps us identify bugs and improve the platform.

2. How we use your information

• To provide and operate the Srota platform and all its features.
• To transmit billing and invoice data to the Inland Revenue Department (IRD) of Nepal via the CBMS (Central Billing Monitoring System) as required by Nepal's Electronic Billing Procedure 2082. This is a legal obligation for VAT-registered businesses — your invoice data is submitted to IRD as part of normal operation.
• To send you account-related communications: trial status updates, subscription confirmations, payment receipts, and service notices.
• To diagnose errors, improve performance, and develop new features.
• To comply with applicable laws of Nepal, including any requirements from the IRD or other regulatory bodies.

We do not sell your personal data or business data to third parties. We do not use your data for advertising purposes outside of Srota's own service communications.

3. Data storage and security

Your data is stored on servers operated by or contracted to Forgenest Services Pvt. Ltd. We use industry-standard security measures including encrypted connections (HTTPS), access controls, and regular backups to protect your data against unauthorized access, loss, or disclosure.

No security system is infallible. In the event of a data breach that affects your account, we will notify you promptly and take reasonable steps to contain and address the breach.

4. Data sharing

We share data only in the following circumstances:

• IRD / CBMS. Invoice and billing data is transmitted to Nepal's IRD as required by law for VAT-registered businesses.
• Service providers. We use third-party infrastructure providers (hosting, storage, email delivery) who process data on our behalf under confidentiality obligations.
• Legal requirements. We may disclose data when required by a court order, government request, or applicable law of Nepal.

5. Cookies

The Srota web application uses session cookies and local storage to keep you logged in and preserve your preferences within a session. We do not use tracking cookies for advertising. The marketing website (srotaapps.com) uses minimal cookies for basic analytics only.

6. Your rights

As a Srota account holder, you can:

• Request a copy of the personal data we hold about you.
• Request correction of inaccurate personal data.
• Request deletion of your account and associated personal data, subject to legal obligations (we are required to retain tax-relevant records for the period specified by Nepal's IRD regulations).

7. Changes to this policy
